How Batch Services Work: Our Step-by-Step Process
From pre-shipment checks to final delivery. The complete process for subscription boxes, campaign drops, and corporate gifts.
Step 1: Pre-Shipment Check
Before you ship any stock, you provide us with your Commercial Invoice and the exact shipment details (total weight, number of boxes/pallets, and dimensions). We perform a preliminary review of the HS-codes and declared values to flag potential border issues before they happen.
Important: Our review is an advisory service. You remain fully responsible for the accuracy of your customs documentation and HS-code classification at all times.
Importer of Record: We verify that your EORI number and importer details are correctly listed for smooth customs clearance. As our client, you are, and always remain, the Importer of Record. We never take ownership of your goods.
Step 2: Inbound Shipping (DDP Only)
Once the paperwork is cleared, you ship your stock to our hub in Flanders, Belgium. Strategically located near the Belgian coast, within easy reach of the Eurotunnel and the major ports of Calais, Dunkirk and Zeebrugge, we are perfectly positioned to receive your goods quickly after they enter the EU.
DDP Only: All inbound shipments must arrive DDP (Delivered Duty Paid), with all duties, import VAT, and customs fees fully settled before arrival. This ensures a friction-free entry into our facility with no unexpected charges.
Receiving Address Setup: Your goods must be shipped with your company name as the Importer of Record and Receiver, c/o our address in Belgium. This ensures our facility serves solely as your delivery point, while you remain the legally registered recipient for customs purposes.
Ownership: You remain the sole owner and Importer of Record for your goods at all times. We act strictly as your relay service partner, providing handling and distribution services, while you maintain full control and legal responsibility for your inventory. We do not purchase, own, or resell your products.
Step 3: Order Data Submission
To ensure the fastest possible turnaround, you provide us with your customer address list (via CSV/Excel) as soon as your stock is in transit. This allows us to validate the addresses and prepare the labels in advance, so we can identify any errors before the boxes even arrive.
Note: We only process pre-packed boxes. Items must arrive in their final shipping carton, sealed and ready for a shipping label. We do not offer picking, packing, or repackaging of gift boxes into shipping cartons.
Step 4: Verification & Quality Check
Upon arrival at our Belgian facility, we immediately verify the shipment against your Shipping Manifest or Packing List, perform a visual inspection of the outer boxes, and provide you with photo/video confirmation of the condition. This gives you full visibility: you know exactly what reached our hub, in what condition, and at what time.
Damage or Discrepancies: Any visible damage or missing items are reported to you within 24 hours of delivery. You remain responsible for filing any claims with your carrier. We provide the documentation you need to support your claim.
Step 5: Invoicing & Payment
As soon as the stock and the address data are verified, we issue an invoice for the handling and shipping costs. Payment must be confirmed before the final dispatch. This ensures we can hand over the boxes to the local carriers without any administrative delays.
Step 6: Labelling & EU Dispatch
We process your shipment, apply the shipping labels, and hand the boxes over to our EU carriers. Your packages enter the EU carrier network directly from Belgium at domestic EU shipping rates: no customs checks, no import duties, and no unexpected fees for your end customers.
