How It Works: Your EU Parcel Relay

From your door to your customer’s doorstep. No warehouse. No picking. Just fast, reliable relay from our Belgian hub.


Step 1: You Prepare, We Pre-Check

Send us your Commercial Invoice before your goods leave. We review your HS-codes, check your EORI details, and flag anything that might cause issues at the border. This is an advisory check: you remain the Importer of Record and stay in control at all times.

Step 2: You Ship DDP to Our Hub

Your boxes travel Delivered Duty Paid, addressed to your company name c/o Kontor of Bruges, Belgium. All import VAT and duties are settled before arrival. We never touch customs payments and we never use our EORI for your shipments. Whether you ship from the US, Vietnam, or Thailand, the process is the same. One pallet or ten. We receive it all.

Step 3: We Receive, Inspect, and Confirm

We unload, count, and visually inspect the outer boxes. Within 24 hours, you receive photo confirmation of what reached us and in what condition. Any visible damage is reported immediately, with documentation for your carrier claim. You own the goods, so you file the claim. We support you.

Step 4: You Send Data, We Label

You fill in our standard Shipping Template. An Excel or CSV file with one row per box: box number, recipient name, email, phone, and full address. This format matches DHL’s system directly.

We run every address through the DHL system. Missing or incorrect postcodes, street names, or house numbers are flagged for you to fix. We do not manually verify addresses and are not responsible for errors in your data.

Every box must arrive sealed in its final shipping carton, clearly numbered on the outside. Your address list should use the same numbers. As a double check, you can also add the recipient name on the box. We do not open, repack, or insert items. What you send is what your customer receives.

Step 5: You Pay, We Dispatch

Once addresses are verified, we send you an invoice for handling and shipping. Payment must be confirmed before we print a single label. Prepaid invoices are due within 24 hours. Without payment, there are no labels and no dispatch.

After payment is received, we apply the correct EU shipping labels and prepare your boxes for handover to DHL.

Step 6: We Dispatch to Your EU Customers

Your labelled boxes are handed over to DHL eCommerce. They enter the EU carrier network at domestic rates from Belgium. No customs checks, no surprise fees for your customer. Full track and trace. Delivery typically takes 2 to 5 business days. Your customers in Germany, France, Spain, or Poland get a local delivery experience, not a customs bill.
