At Kontor of Bruges, we believe in transparency. No hidden fees or complex storage tiers. Our pricing is designed to grow with your brand.

1. Account Setup (One-time)

Onboarding Fee: €125.00
Includes custom data mapping for your labels, profile setup in our carrier networks, and an initial audit of your data formats to ensure EU compliance.

2. Inbound Project Fees

Each shipment we receive from you involves two distinct steps:

  • Customs & Admin Support: €45.00 (per inbound shipment)
    This covers the “digital” work and communication work:
    • Review of your Commercial Invoice, HS-codes, and CMR documents.
    • Dedicated Customer Support: Direct coordination via email/phone regarding your specific shipment and timeline.
    • Ensuring all compliance standards are met before the truck hits the road so your stock isn’t blocked at the border.

 

  • Physical Intake: €20.00 (per pallet)
    This covers the “manual” work: unloading, physical count, and a visual quality inspection (with photo/video confirmation) of the outer boxes upon arrival.

3. Handling & Relay Service

We scan your pre-packed boxes, apply local EU labels, and hand them over to the carrier.

  • Small / Letterbox (Up to 1kg chargeable weight*): €2.00 per box
  • Standard Box (Up to 5kg chargeable weight): €3.75 per box

We offer custom, volume-based handling rates for projects exceeding 250 boxes per month. Contact us for a tailored quote to support your EU expansion.

*Chargeable weight is the greater of actual weight (kg) or volumetric weight: (L × W × H in cm) ÷ 4,000.

Variation & Efficiency Rules:

  • Included Variations: Up to 3 unique Box Variants are included per project.
  • Additional Box Variants: €20.00 per extra Box Variant (to cover additional sorting, labeling management, and verification time).
  • Minimum Volume: A minimum of 25 units per Box Variant is required to maintain efficient processing.

Note: We only process pre-packed boxes. Items must arrive in their final packaging, ready for a shipping label. We do not offer individual picking or packing.

4. Shipping Rates (Mainland EU)

Our rates are divided into 5 zones to ensure you get the most competitive local price. Please note rates only apply to mainland Europe.

*Please note: Shipping rates are subject to monthly carrier fuel surcharges. We aim for maximum price stability by buffering minor fluctuations within our standard rates.

5. Sample Calculation: The Monthly Drop

The Bottom Line:

6. Additional service fees

Our pricing assumes a “friction-free” process. When extra manual intervention is needed, the following rates apply:

  • Express Inbound Processing: €25.00 per shipment 

    • For shipments requiring guaranteed processing within 24 hours of arrival (subject to prior agreement).

  • Repacking & Recovery: €45.00 per hour 

    • In the event of a damaged pallet/shipment upon arrival that requires manual sorting, re-stacking, or box replacement.

7. Prohibited Items & Excise Goods

  • Prohibited Items: We do not process liquids, perishable goods, tobacco, or hazardous materials (ADR).
  • Excise Goods: We are not an authorized excise warehouse. We strictly prohibit the shipment of any goods subject to Belgian excise duties. This includes, but is not limited to: coffee, tea, and all beverages (alcoholic or non-alcoholic, such as juices and mineral waters).
  • Consequences: Any shipment containing excise goods will be refused upon arrival and returned at the sender’s expense to avoid customs and tax complications.

8. Returns & Small Print (Summary)

  • Returns: Carrier fees for undeliverable parcels are passed through at cost. Return Handling: €5.00 per box.
  • Relabelling: A box needing a new label is charged the standard handling fee again.
  • Address Correction: DHL address correction fees are passed through at €15.00 per occurrence.
  • Undeliverable Parcels: Held for 10 business days. The client must provide a return address or disposal instruction. After 10 days, parcels are disposed of at the client’s expense.
  • No Storage Policy: We are a relay facility. All goods must have a confirmed destination upon arrival.
  • DDP Requirement: All shipments must arrive Delivered Duty Paid. Duties and VAT must be pre-settled.
  • Importer of Record: You remain the Shipper and Importer of Record at all times. Our EORI number is never used.
  • Product Compliance: You are responsible for EU product compliance. We do not verify product contents.
  • Insurance: You must maintain your own transit insurance. We do not insure your inventory.

9. Payment terms

  • Invoices for handling and shipping must be paid within 24 hours.
  • Other invoices (repacking, holding fee, address corrections, returns, etc.) are payable within 14 days.

All prices exclude VAT. VAT rules apply according to Belgian law.
